From Outdated to Optimized: How 3Ci Overhauled a Client’s Data Management System

Read in 5 minutes

In the realm of cutting-edge technology solutions and staffing expertise, our first encounter with the system revealed a monolithic data model. A well-structured data model, specifically tailored to bolster a distinct business subject area, results in a system that is not only straightforward and manageable but also exhaustive within its defined scope and adaptable to evolving business needs. Such a model also efficiently accommodates fresh data.

Conversely, a monolithic model introduces several challenges. It contains interlaced dependencies, making alterations high-risk. Recurrent data duplication impedes the smooth assimilation of new data, and as more data is incorporated, the system’s complexity escalates.

Leveraging our technical proficiency, we engineered new metrics, illustrating how they could eventually be partitioned into an independent model. We strongly advocated for halting further developments on the monolithic model. Our approach underscores our commitment to delivering robust, efficient, and future-proof technology solutions.

At 3Ci, we understand the importance of fast and accurate data. Data-driven companies are 58% more likely to surpass their revenue targets than those not prioritizing data. We were able to streamline their process from 8 hours of refreshing data down to 15 minutes – allowing them to update their dashboards in real-time with ease.

3Ci’s Assessment of a Complex Data System

When we started digging into the database, it became clear that their data management system was highly complex, scattered across different platforms, and dependent on numerous third-party vendors. Consequently, any updates or modifications to the client’s database had to be manually replicated across all those platforms. This consumed valuable time and resources and made the process error-prone.

Overcoming Data Volume Challenges

We had to restructure the client’s database entirely and implement a more effective data polling system to achieve this optimization level. To do this, we first conducted an in-depth analysis of the client’s data structure to identify any redundancies or inefficiencies. We then worked closely with the client to understand their business needs better and develop a more streamlined and customized solution.

Using our expertise in database management, we redesigned the client’s database structure to ensure that it was optimized for fast and efficient data retrieval. We also implemented a more advanced data polling system that could pull all required data simultaneously, significantly reducing the overall processing time.

One of the biggest challenges we faced during this process was dealing with the sheer volume of data that needed to be migrated. Data scientists spend more than 80% of their time dealing with “unruly digital data” and “data wrangling” before the data can be used. We had to pull over 200 million rows of data from the beginning, which was daunting. However, by using data time stamps, we were able to reduce the amount of information being pulled, resulting in a much faster, more efficient process.

Ultimately, we reduced the processing time from one hour to just five minutes, allowing the client to access their data more quickly and efficiently than ever before.

Ensuring Efficient Data Integration

To make our process even more efficient, we decided to set up our own data center and move away from relying on cloud-based solutions. Rather than loading all the tables in bulk, we’re only incrementally loading them.

By setting up our own private cloud-to-cloud connection with other service providers, we can manage the data integration and ensure maximum synergy between different API’s. With all these changes in place, we can rest assured that our data-loading process is now more efficient than ever!

We use a combination of Microsoft SQL Server, Microsoft Analysis Services, Azure Data Factory, MySQL, Python, PowerShell, and R to make our data-loading process seamless. We’ve even used R to help match clinical notes to the pharmaceutical database – this is done through machine learning.

These changes could provide a seamless customer and client experience, ensuring that data is pulled easily and in real-time. The absence of a unified customer view is the most significant challenge in providing an excellent customer experience (CX), with only a third of high-performing businesses having unified customer data. This was a cornerstone of their business for our client, giving them a distinct leg-up over competitors.

3Ci’s Ongoing Commitment to Accurate Data

For two years now, we have been constantly engaged with this project, striving to ensure that the client has the most up-to-date and accurate data possible. The upgrade process was a long and arduous one, but in the end, it was worth it. Now the client’s over 700 users can access their dashboards quickly and easily, and all data is stored securely. On top of that, we were able to help them maintain the personalized customer experience they strive for by scrubbing their data regularly so everything stays up-to-date.

Thanks to 3Ci’s efforts, this business has gone from just a few clinics to 350 since 2018—and counting!

At 3Ci, we understand that businesses need flexibility and freedom to grow. Our team was proud to be the trusted technical advisor for our client’s data migration project – ensuring it ran smoothly and without a hitch!

As we advance, we’re committed to supporting them as their data needs change and grow. We have more access than any other vendor they work with, so they can rely on us to keep things running efficiently. Plus, our transparent communication style ensures honest dialogues between all stakeholders involved in the project.

We Get Data Done

By adopting a comprehensive approach to managing and utilizing data, organizations can unlock a wealth of insights that can drive informed decision-making and lead to business success. As highlighted in this case study, a strategy and governance framework that includes standards, integration, and quality techniques can ensure that data is trustworthy and reliable. By focusing on improving data quality throughout its lifecycle, businesses can leverage this valuable asset to gain a competitive advantage and achieve their goals.
